We take the protection of guests’ data very seriously and we are fully compliant with General Data Protection Regulations.
What information we collect about you
When a booking is made we collect the name, home address, telephone number and email address of the person making the booking.
How we use the information we hold on you
We will use your email address to send you confirmation of the booking and our digital Spurwing Guest Information Book. After your stay you may receive an automatic email from our booking system inviting you to fill in a feedback form. We will only use your telephone number to contact you for a deposit for your stay, if an item of your belongings has been left behind or for an emergency.
How is your data stored
All of the personal data you supply us, as part of the booking process, is stored securely on a third party system (Freetobook). We will not share your information with any third party unless there is a legal reason to do so.
We would love to stay in touch with you to send you information about Spurwing Guest House, local events or any special offers. We may send the occasional email (no more than one a month) to people who circled yes and agreed their contact details be used for marketing purposes (Spurwing Guest House only) on the Guest Registration Form, filled and signed in on arrival. We use a secure third party marketing platform called Mailchimp to create and manage mailing lists and newsletters. Neither we nor Mailchimp will pass your details onto any third party.
We are required by law to collect information on all our guests. We do this by asking you to complete a guest registration form on arrival. We collect the lead guests’ name, email address, telephone number, how you heard about us, specific dietary restrictions or food allergies and a simple yes/no to whether your contact details may be used for marketing purposes (Spurwing Guest House only). Overseas guests are asked to provide additional information; their passport number and where it was issued. We are required to keep these forms safely for a year and show them to a police officer if they request to see them. We will destroy these forms 12 months after your stay.
NHS Test and Trace
We may use the lead guest information (name, telephone and dates of stay) to assist the NHS Test and Trace facility for a period of up to 21 days from the end of your stay. If a guest does not want us to use their information in this way the onus is upon them to inform us.
Access to your information
